Reservation and Rental Procedures

Upon receipt of Reservation request by Renter, Owner should respond in a timely fashion. In the event Reservation request does not include all required or requested information, RVrentout.com requires that you contact Renter, and ensure that the Reservation Agreement reflects the terms under which the Parties might agree to the Reservation, in compliance with the Terms and Conditions of the RVrentout.com Service.

Both Parties shall then be required to execute a Reservation Agreement that reflects the Terms of the Agreement between them and acknowledges RVrentout.com’s supporting role in the Transaction. Through the User dashboard, Renter will receive the address for the drop-off of the Rental.

Prior to Pick-up you are required to inspect vehicle and perform any required maintenance (i.e. ensuring fuel, fluid, chain, and air-pressure levels are acceptable). We require that you deliver the vehicle and all rented gear to the address/drop-off point you have selected and arrive on-time.

Pick-up

At the time of pick-up, Owner shall be responsible for confirming all terms of the reservation, including identity of the Renter and designated passengers. You shall be responsible for receiving a copy of Renters valid vehicle license. Please take a picture of it next to your vehicle’s odometer. If Renter fails to present a valid license, you should not continue with the drop-off. The Reservation period should NOT commence to the Rental or Trip Period.

If Renter DOES present a valid license and all terms of the reservation are otherwise confirmed, please instruct Renter on the basics of operation SPECIFIC to your vehicle, including operation of the steering wheel lock, and any other instructions particular to the vehicle being rented. Be sure to re-state maintenance requirements during the Rental period, and be sure Renter understands them.

During this period, a booked Reservation shall NOT have converted into a Rental unless all conditions precedent have been performed, meaning terms of your Reservation Agreement, and RVrentout.com terms are satisfied. As a practical matter, this means if you detect any obvious or likely possibility of Renter engaging in Prohibited Activities as listed in the Renters Terms, RVrentout.com permits you to make a judgement call. Intoxication or lack of skill sufficient to safely operate the vehicle should be apparent. Understand that no liability will attach to Owner for negligent entrustment if apparent impediments to safe operation are apparent. However, do understand that Renter may have recourse through the Administrative Terms, the Parties have accepted to submit to an informal dispute resolution process. Owner will still be paid their reservation fee; however, RVrentout.com reserves the right to review your Owner account if a pattern of unwarranted cancellations and unfavorable disputes is detected.

If no obvious violations of RVrentout.com terms, or your Reservation Agreement between Renter and Owner are detected, please submit a photo of Renter’s valid license next to the odometer, your submission of the photo shall be time-stamped commencing the Rental or Trip period.

Drop-off

At the time your vehicle is returned by sure to document any perceived damage to the vehicle beyond wear and tear, additionally please ask the Renter how the Rental went. Make note of any problems or complaints they may have had and, to the extent possible ensure any wear and tear or conditions presented are remedied before completing a subsequent reservation through RVrentout.com.

Accidents or Damage

If at any time during the Rental period the Renter reports any damage or accident to you, be sure to report them via the insurance claims submission form in the booking details page. If practicable, you may take possession of your vehicle before the end of the Rental period in the event of an accident or equipment failure. Please advise Renter to immediately initiate the Insurance claim process if necessary.

If you detect damage or receive any fines or tickets after drop-off, please use tools or procedures as RVrentout.com may offer in order to be reimbursed as agreed. Pursuant to RVrentout.com’s Payment and Administrative terms, you may be required to provide materials prior to any reimbursement being processed or having Renters Payment Method charged. Please consult RVrentout.com’s Payment and Administrative terms for more information.

Cancellation Policy

Cancellation Policy

Reservations

According to the Terms and Policies incorporated in our Terms of Service, the Renters and Owners Policies, Renter and Owner may agree to enter into a Reservation Agreement. The Renter and Owner shall meet at a mutually agreed location. Once the Parties have satisfied all necessary conditions --- including but not limited to providing a valid license to operate Owner’s vehicle, a walk-through inspection of the vehicle by the Parties, taking pictures of any the vehicle and odometer – the Parties may agree to commence the Rental Period if the conditions of the Reservation Agreement are met.

Reservation Cancellation

In some cases, it may be necessary for either of the Parties to cancel the Reservation prior to the Pick-up Appointment.

  • Renters may cancel the Reservation through their User Dashboard, or My Reservations Page, which shall be promptly communicated to the Owner. Cancellations are effective immediately and Reservation fees are refunded promptly.
  • Owners may cancel the Reservation through their User Dashboard, or My Reservations Page, which shall be promptly communicated to the Renter.

There are no cancellation fees if the Reservation is canceled before the owner approves it. There is a 25% cancellation fee for renters if they cancel a Reservation within 24 hours of commencement, unless the Reservation was booked within 24 hours of commencement. If the Reservation is booked within 24 hours of commencement, there is a 25% cancellation fee for renters if they cancel a Reservation after 1 hour of booking the reservation.

Renters cannot cancel a Reservation after the agreed upon Reservation time. Failure to arrive at the agreed upon Pick-up for the Reservation within an hour of the appointed time may result in Renter being charged the full agreed upon amount.

Terminating an agreement with another RVrentout.com user may inconvenience them. If RVrentout.com detects, or a pattern of repeated Reservation Cancellations is reported, we reserve the right to take remedial action against such Users, including suspension or removal from the RVrentout.com platform to preserve the quality of the Service’s Community.

Declining Commencement of Rental Period

The Parties have agreed to certain conditions in their Reservation Agreement, and also to abide by Terms and Polices as required by RVrentout.com. The Renters and Owners Policies details certain conditions, including but not limited to, presenting a valid license for the operation of the vehicle to be rented, following safe operating procedures including demonstrating preparedness to operate the vehicle in compliance with the law, and that the vehicle be in safe operating conditions as advertised through the RVrentout.com platform. If these conditions are not met either User may decline commencement of the Rental Period. We ask that Users document and report to us the reasons for declining to convert the Reservation into a Rental.

Once Rental Period Has Commenced

Once a Rental Period has Commenced it may not be cancelled. Once the Pre-trip photos of the vehicle, odometer, and Renters license have been documented and sent to RVrentout.com, the Rental period has commenced.

Returns

The vehicle must be returned at the agreed upon time as set forth in the Reservation Agreement. No credits or refunds are issued for early returns. Unless the Parties have mutually agreed to an extension of the Rental Period, and documented this through their RVrentout.com accounts, any returns more than one-hour past the agreed time shall incur an additional day of Rental Price and Rental Fees plus a $50 Late fee. Every 24 hours, the renter will be assessed an additional day of Rental Price and Rental/Late Fees, as well as Protection purchases if applicable.

Renter and Owner understand and agree that any payment method used in the Reservation process shall remain open and effective throughout the Rental Period and shall close only after the transaction has satisfactorily concluded.

Additionally, if either user, demonstrates a pattern of abuse of these cancellations polices, or continually works hardships against other users, by repeatedly cancelling reservations, declining commencement of rental period in an arbitrary manner OR arriving to Pick-up Appointment unprepared to commence the Rental period, RVrentout.com may take whatever remedial action, they in their sole discretion they determine is warranted, with may include suspension or termination of a User’s account.

What happens when I get a booking request?

When you get a booking request, you will receive the trip details and contact information of the renter. You may discuss the trip details and you will have the option to accept or decline the booking request at your convenience. Bear in mind, we have very strict requirements for renters so
this should be more about your availability than vetting the renter!

After you approve the booking, at the time the trip starts you must:

  • Check renters have a valid driver's license. While we have vetted each renter, it's always good to double-check.
  • Verify their identity matches the identity provided by RVrentout.com
  • Make sure they are capable of driving your RV; familiar with the operation and not inebriated.

If they fail to pass any of the above checks, do not hand over your RV. Kindly let them know that you are not comfortable releasing the RV to them at this point; notify us and you will still receive full payment. Each situation is different, but we value your gut feeling.

If they pass the checks:

  • Give them a quick tour of your RV. Also, share any quirks that the RV might have; a choke, or particular theft deterrent.
  • Document the bike condition before and after the trip using our check-in process. There is a sample checklist you can reference during the process.
  • Hand over the keys and wish them a good ride! It gets a lot easier after the first time.

What should I check/confirm before listing my RV?

Before listing your bike, please check and confirm the following, to protect you and our renters:

Tires:

Are your tires 5 years old or older? Rubber degrades over time, and tires are no exception, even if they've never been ridden. You can check their birthday by looking for the date code on the sidewall, usually this is the last four digits of the DOT code.

Battery:

Is your battery 5 years old or older? Typical battery lifespan is 4-6 years, less if not kept properly charged. One of our most common cancellation causes is dead batteries. Check to make sure your bike starts without being on a trickle charger for a few days; on it's own. Consider having it replaced if it's older anyhow: no one likes to be stranded with a dead battery.

Brake Fluid:

When was the last time you changed your brake fluid? Like rubber and batteries, brake fluid degrades over time. Most manufacturers recommend replacing brake fluid every two years. Old brake fluid causes reduced braking performance: dangerous on the road.

Professional Check-up:

When was the last time a professional inspected your RV? Like an annual doctor's appointment, bringing your RV to a dealer or an independent mechanic on a yearly basis is a good idea: they might see something that you've glossed over.
